At TriHealth, it is our responsibility as health care providers to do all we can to reduce the chance of spreading the flu.

That’s why all team members, both clinical and non-clinical, are required to get a flu vaccination between Monday, September 23 and Friday, November 8. Not only does it protect our patients, team members, and families from this common virus, but it’s also free and easy!

Important Flu Vaccination Dates

  • Monday, September 23, 2024 – Employee Health Vaccine Clinics begin administering flu vaccinations.
  • Friday, November 1, 2024 – The last day to submit a medical or religious declination form and support documentation.
  • Friday, November 8, 2024
    • The last day to get a flu vaccine at an Employee Health Vaccine Clinic
    • The last day to get a flu vaccine from your primary care provider or another community vendor and submit paperwork to Employee Health.
  • Monday, December 16, 2024 – Monday, March 31, 2025 – Expected dates of the flu season. (Dates may change based on the prevalence of influenza.)

All team members have the following options to complete TriHealth's flu vaccine requirement:

  • Receive a flu vaccination from an Employee Health Vaccine Clinic by November 8, 2024.
  • Receive a flu vaccination from another vendor (primary care provider, community clinic) and submit documentation by November 8, 2024.
  • Apply for and receive an approved medical or religious declination by Friday, November 1.

Leaders can click on MyInsights Portal to see all dashboards, then MyInsights Service - Flu Vaccine Compliance to see their Team Member compliance. 

Receive a Flu Vaccination from an Employee Health Clinic

Schedule your flu vaccination at one of nine Employee Health Vaccine Clinics located across the system between Monday, September 23 and Friday, November 8. Team members must schedule their arrival time to receive a flu vaccination, as it allows our limited Employee Health team members to maximize clinic availability, resulting in a quicker vaccination experience.

 

Look for future dates to be posted 2 weeks ahead of the clinic's scheduled date.

You must present your TriHealth ID badge when arriving for your flu vaccination at an Employee Health Vaccine Clinic, which will only administer vaccinations to those with a TriHealth badge. Please arrive for your flu vaccination at the arrival time you signed up for.

There are a limited number of egg-free and high-dose influenza vaccines available by appointment only at the Employee Health offices. Call Employee Health at 513-862-2857 (Good Samaritan Region) or 513-865-1152 (Bethesda North Region) to request an appointment, while supplies last. 

Flu vaccines were ordered six months in advance, but what is received by Employee Health is always subject to delays in manufacturing/distribution. The brands Employee Health receives are subject to change based on availability.

Appointment availability and a sign-up link will be made available once our supply of the COVID-19 vaccine is received, dependent upon vaccine supplier and delivery. Receive a Flu Vaccination from Another Vendor by Friday, November 8

You may choose to receive your flu vaccination from your primary care provider or a community vaccination site outside of an Employee Health Vaccine Clinic, including from a TPP Office. However, if you choose this option, you must take an extra step and submit flu vaccination documentation to Employee Health by Friday, November 8.

Submit your flu vaccination documentation to Employee Health by following these steps:

  • Click the HIPAA-compliant “Click to Submit Vaccine Records” button below.
  • Click on Flu Vaccine Record.
  • Note: You must be logged in to a TriHealth computer on-site or connected to the TriHealth network through VPN (if remote) to access the records submission portal.

Flu vaccination documentation must be a copy of your flu shot immunization record. It should include:

  • Your full name
  • Date of Birth
  • Vaccine brand
  • Vaccine date(s)
  • Vaccine lot number(s)
  • Provider Information

 

Receive Approved Medical or Religious Declination by Friday, November 1

Exemptions will be considered and made for documented medical reasons or deeply held religious beliefs. Medical and religious declination forms and supporting documentation are due by Friday, November 1, 2024. 

If you have received a medical or religious declination for the flu vaccine or the COVID-19 vaccine in prior years, you must still complete the request process by submitting a form each year to have an approved exemption for the upcoming 2024-2025 influenza season. 

Team members on Leave of Absence wanting to decline the flu shot for this year must submit a medical or religious declination form and supporting documentation for review by November 1, 2024 and receive an approved exemption before returning to work.

 

If you apply for and receive a declination, you will work with TriHealth Human Resources to determine what reasonable accommodations need to be made while you continue to work. 

Team members who receive an approved flu vaccine medical or religious declination will be required to wear a surgical mask for the duration of flu season (December 16 – March 31) while within 6 feet of patients if you are not already required to wear a mask for any other infection control precautions.

COVID-19 Vaccine Update

TriHealth-employed team members and physicians will be eligible to sign up for an appointment if they would like to receive a COVID-19 vaccine at the hospital-based Employee Health Vaccine Clinics (Bethesda North Hospital, Good Samaritan Hospital, Bethesda Butler Hospital and McCullough-Hyde Memorial Hospital). Appointment availability and a sign-up link will be made available on the COVID-19 Vaccine Information page on Bridge once our supply of the COVID-19 vaccine is received, dependent upon vaccine supplier and delivery. Appointments will continue to be added as supply is received.
